AI Receptionist. An answer for the calls you can’t take.

When a call goes unanswered or comes in after hours, an AI receptionist picks up. It tells the caller it’s an AI assistant, answers only from facts you’ve approved, takes down what you need for a quote, books a time or requests a callback, and texts or emails you a summary of the call. It only answers calls that come in. We never make outbound AI calls.

The problem

The phone rings while you’re on a job, with another customer, or after you’ve closed for the day. Some callers leave a voicemail. Others hang up, and you’re left with a number and no idea what they needed.

By the time someone calls back, the caller may have moved on, and what they asked for often isn’t written down anywhere.

Safeguards

Honest with callers, careful with answers

  • It says it’s an AI, up front. At the start of every call, the caller is told they’re speaking with an AI assistant.
  • Approved facts only. It answers only from the facts you approve. If the answer isn’t there, it doesn’t guess.
  • A person when it matters. When it can’t answer from your approved facts, or the caller asks for a person, it hands off to your team with a callback or transfer request.
  • Recording notice by state. Calls are recorded or transcribed only with the notice the caller’s state requires. Some states require everyone on the call to agree.
  • No outbound AI calls. It only answers calls that come in to you. We never make outbound AI calls.
  • No pretending to be a person. Callers always know they’re talking to an AI assistant, and can ask for a person.
  • No health-related calls without a BAA. For health-related businesses, such as home care agencies, we offer the receptionist only with a signed Business Associate Agreement (BAA) from the voice provider. Without one, it isn’t offered.

AI Receptionist questions

Will callers know it’s an AI?

Yes. Every call starts with the receptionist saying it’s an AI assistant. Callers can ask for a person at any time, and it will take a callback or transfer request for your team.

Does a person approve what it says?

A live call can’t wait for approval, so the approval happens in advance: you approve the facts it may use, and it answers only from those. Anything it can’t answer from them goes to a person.

Does it make calls?

No. It only answers calls that come in to you: the ones your team misses, or that arrive after hours. We never make outbound AI calls. Callbacks are for your team to make.

Are calls recorded?

Only with the notice the caller’s state requires. Some states require everyone on the call to agree to a recording. We set up that notice before launch.

What happens after 300 minutes?

The monthly plan includes 300 answered minutes. After that, each answered minute is $0.25. Phone number and calling costs are listed in your proposal.

How does it fit with the Inquiry-to-Client Desk?

The Desk includes the AI Receptionist for inbound calls it misses or gets after hours. If you only need call answering, you can have the receptionist on its own.

We’re a home care agency. Can we use it?

Only if we have a signed Business Associate Agreement (BAA) from the voice provider, because callers to a health-related business may share health details. Without one, we don’t offer the receptionist. Please confirm your own obligations with your counsel.

Is this a new service?

Yes, it’s newer than our AI Visibility service, so we don’t show results we don’t have yet. That’s why it answers only from facts you approve, and hands anything else to a person.
